Position Summary:
Responsible for the daily operations of the Volunteer Office. Supervise staff and volunteers to ensure quality customer service. Organize and direct daily operations of Volunteer Office. Provide staff and volunteer training when necessary. Assist with budget preparation and monitor expenses. Ensure adherence to Hospitals and departmental policies and procedures. No patient care assignment.
Detailed responsibilities:
* SUPERVISION - Develop efficient organizational structure, as assigned supervise employees - select, terminate, train, educate, correct deficiencies, perform appraisals, issue discipline, counsel, schedule work assignments; encourage staff teamwork and growth initiatives
* SUPERVISION - Perform routine personnel and payroll functions; monitor and maintain sick and annual leave records
* CUSTOMER SERVICE - Ensure quality customer service through training, monitoring and coaching; resolve customer service issues and problems
* CUSTOMER RELATIONS - Establish and maintain good rapport and effective working relationships with patients, visitors, physicians and Hospitals employees
* MEETINGS - Conduct staff and volunteer meetings, attend meetings with various volunteer programs and departments that have volunteer presence
* ORIENTATIONS - Coordinate with Director and conduct volunteer orientations
* EQUIPMENT - Coordinate activities related to repair and maintenance of equipment
* RECORDS - Ensure accurate maintenance and record keeping of volunteer files adhering to policies for keeping information confidential
* RECRUITMENT - Assist in recruitment and on-boarding of new volunteers
* PLACEMENT - Assists with the planning and volunteer placement in hospitals and clinics; matching volunteers to opportunities that suit their skill set
* VOLUNTEER CLEARANCE - Work with NM DOH and CYFD for volunteer clearance and proper record keeping
* RECOGNITION - Assist with the implementation of volunteer recognition
* BUDGET - Assist in annual fiscal budget preparation, budget maintenance, assessment of budget variances and action plans for remedy
* SCHEDULE - Coordinate staff schedules to ensure optimal coverage; adjust/change schedules as necessary
* PROCESS IMPROVEMENT - Monitor staff functions, identify opportunities for improvement, and take necessary steps to achieve the identified opportunity
* PROCEDURES - Formulate, establish and maintain all procedures and practices for staff
* POLICIES - Follow and maintain established departmental policies and procedures, objectives, and quality assurance program, safety, environmental and infection control standards
* SAFETY - Ensure and maintain adequate safety equipment and training in all areas of the department
* QUALITY - Ensure adherence to established quality standards; evaluate subordinate's performance and compliance with standards
* DEVELOPMENT - Enhance professional growth and development through participation in educational programs, reading current literature, attending in-services, meetings and workshops
* POLICIES & PROCEDURES - Participate in the development and implementation of policies and procedures; identify and recommend areas of improvement
