Position Summary:
Provide supervision to coordinate functions and activities of multiple departments. Oversee the activities relating to the centralized receiving and warehousing; coordinate and supervise general stores, print shop, mailroom, courier services. Ensure adherence to Hospitals and departmental policies and procedures. No patient care assignment.
Detailed responsibilities:
* SUPERVISION - Develop efficient organizational structure. Supervise employees and select, terminate, train, educate, correct deficiencies, perform appraisals, issue discipline, counsel, schedule work assignments; encourage staff teamwork and growth initiatives
* BUDGET - Assist in annual fiscal budget preparation, budget maintenance, assessment of budget variances and action plans for remedy
* IN-SERVICES - Plan and coordinate in-services for assigned staff
* COMMUNICATION - Keep the reporting Director advised of major problem areas as they arise
* CUSTOMER RELATIONS - Establish and maintain good rapport and effective working relationships with patients, visitors, physicians and Hospitals employees
* LIAISON - Act as a liaison between management and department personnel; coordinate with other staff professionals, divisions and departments; meet with nurse managers to discuss and resolve problems
* SAFETY - Ensure and maintain adequate safety equipment and training in all areas of the department
* ENVIRONMENT - Foster a supportive working environment promoting employee participation, cooperation and professional growth
* QUALITY - Document monthly Pyxis product expiration date checks, correct deficiencies ensuring smooth operation and continuity of work
* DELIVERIES - Ensure timely and accurate delivery of supplies and mail to all hospital users. Complete daily supply order to maintain Hospitals stock requirements. Meet 95% on time delivery rate
* DOCUMENTS - Ensure all documents are processed accurately and in a timely manner. Approve invoices for accounts payable. Direct the entering of patient charges using Cerner Millennium System. Maintain metrics for department. Maintain department website
* INVENTORY - Plan and coordinate physical inventory activities; maintain inventory accuracy through cycle counting and adjustment. Oversee data entry into Ross system and assist to control Hospitals inventory using GEMBASE THIN Clinic; generate and review Pyxis reports
* MATERIALS - Oversee the load and unload of material, equipment, merchandise or supplies from automobiles, trucks or other vehicles. Plan and coordinate the transfer of materials from warehouse to the proper departments

* EQUIPMENT & SUPPLIES - Ensure departmental supplies and equipment are properly cared for and maintained, evaluate and justify equipment and supply needs and purchases
* TRUCKS AND VANS - Supervise the loading, routing, and maintenance of trucks and vans
* MEETINGS - Attend meetings as required, and participate on committees as directed. Plan agenda for and conduct monthly staff meetings
* TIME SHEET & STRUCT - Monitor time sheets; assist in preparing job descriptions, organizational charts, and department manuals
* PROCESS IMPROVEMENT - Identify areas of system errors, duplications, imbalances, possible procedural deficiencies and recommend solutions providing for operational adjustments for effective system operation
* POLICIES - Follow and maintain established departmental policies and procedures, objectives, and quality assurance program, safety, environmental and infection control standards
* DEVELOPMENT - Enhance professional growth and development through participation in educational programs, reading current literature, attending in-services, meetings and workshops

Physical Conditions:
